Administrative Assistant - Kansas City, Missouri

DESCRIPTION:

Assist Executive Managing Director – Sales & Leasing and brokers with daily activities which include preparation of reports, leases, contracts, mailings, brochures and other related duties. Prefer Associates or Bachelor’s Degree  Proficient in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook). * Have the ability to multitask in a fast-paced environment.  *Must be an extension of the Executive Managing Director – Sales & *Leasing and handle situations proactively and intuitively. Ensure that   a strong attention to detail is maintained at every level. * Must be flexible and highly motivated with a willingness to take initiative. * Interpersonal skills and a solid ability to work collaboratively with   teammates and clients is extremely important in this role. * Excellent letter/email writing skills including exceptional proofreading and   editing.

 *Polished and professional. Develop effective and constructive solutions to challenges and  obstacles with the ability to complete projects on time. Knowledge and capable of using various office equipment (including but not limited to copiers, printers, binders and scanners). Capable of learning and using industry related software programs. Maintain a high level of professionalism and integrity as a team player and possess the ability. to work for a team of brokers including communication with external clients and vendors with minimal daily supervision.  Perform business support function activities for Executive Managing Director – Sales & Leasing and broker team; intuitive calendar management, meeting planning, on and off-site travel, expense management and other general duties.  Prepare, distribute, track, follow-up and process listing agreements, leases and sales contracts as per standard office policy.  Establish and maintain record keeping; tracking commissions, invoices and reporting as required by Executive Managing Director – Sales & Leasing.Attend sales meetings and work on special projects as requested.  Assist in preparing and assembling proposals/marketing presentations.  Scan and/or file and maintain correspondence and documents, etc. in electronic imaging system and/or file folders. Enter, maintain and update various databases.  Perform mail merges. Coverage on front desk and fill in for other team members when requested.
