Scheduler/Customer Service Job Description
The right candidate:
- Bilingual in Spanish and English – fluent in both written and spoken language is essential in this position
- Ability to work in an office environment and support an outside sales team with administrative duties
- Strong knowledge and ability to use QuickBooks, including recent and extensive experience using it on the job.
- Ability to use Excel proficiently
Other important duties:
- Enter all customer receipts
- Enter all payment receipts into QuickBooks
- Enter customer information into QuickBooks
- Perform Accounts Receivable duties, including monitoring the AR report for outstanding residential invoices. Customers on this list should be contacted via phone, email, and mail to collect payment
- Take customer credit and billing information and set up customer accounts
- Collect payments and checks
- Ability to stay focused, be detailed in the accuracy of administrative and accounting work
- Ability to work well with people, including customers and internal staff
- Print and create job jacket packets for the crews with the correct information relevant to that job
- Collect preference and choices of options prior to the start of the job
- Create sales receipt for customers
- Communicate with the Project Assistants via email
- Communicate job status and note issues that have arisen, and communicate to the appropriate staff member or manager within the company
- Address issues calmly and follow up to make sure customer’s concerns are followed up on by the appropriate staff member or manager
- Attend meetings, communicate with management and crew members, as well as crew leads in whatever manner is needed
- Schedule work crews and communicate the schedules. Make changes, as needed, to accommodate project changes and staff availability
- Communicate with residential customers to find out their scheduling needs and fitting into the availability of the schedule and sending them their color confirmation forms. Continued communication leading up to their project start
- Running scheduling meeting every Tuesday to go over the stats of jobs in progress and jobs that are coming up on the schedule
- Working closely with the Project Assistants to stay on top of crews to manage their current project and prepare for their upcoming projects
- Communicate with residential customers regularly to find out their scheduling needs and fitting into the availability of the schedule and sending them their confirmation forms. Continued communication leading up to their project start
- Running scheduling meeting every Tuesday to go over the stats of jobs in progress and jobs that are coming up on the schedule
- Working closely with the PA’s to stay on top of crews to manage their current project and prepare for their upcoming projects
- Review scope of work with the crew when they come to collect the job jacket. Communicate important notes that may not be written in the proposal but were reviewed during the meeting
- Submit residential and commercial checks to the bank through the check scanner, print deposit statement and attach checks, file in deposit folder
- Other duties, as assigned
This is an “in-office” position only. Reliability, attention to detail and ability to work well with others are very important.
